Primary Job Purpose: Responsible for assisting with all aspects of the Trust Department, Repurchase Agreement (REPO) accounts and Bond Investments for the bank.
Essential Responsibilities and Duties:
Trust Functions
- Greet and assist Trust Department customers in person and on phone.
- Assist customers with Individual Retirement Accounts (IRAs) and Health Savings Accounts (HSAs).
- Oversee daily operations including tracking deadlines, processing deposits, withdrawals and transfers.
- Enter and balance accounting information, maintain detailed records of transactions and prepare client statements and financial reports.
- File and image account documents and correspondence.
- Prepare various forms and scheduled checklists for accuracy.
- Monitor compliance with regulations, perform audit support and prepare periodic reports for management.
- Assist with preparation of trust documents, maintain databases and perform other administrative tasks as directed by Trust Officers and CFO.
- Prepare monthly reports for Trust Investment Committee (TIC) meetings and prepare quarterly reports for TIC Asset Review meetings. Prepare minutes of these meetings and submit for board packet inclusion/approval.
- Perform the annual administrative review of all trust accounts.
- Send out RMD letters to all customers in RMD status and follow up to make sure all RMDs are taken each year with bank accounts and trust department accounts.
- Assist with annual review and updating Trust Policies and Procedures.
REPO & Bond Investment clerk functions
- Maintain Bond Clerk functions, including all administrative functions for buying, selling, and receiving principal and interest payments or dividends on bank bonds and stock. Prepare and maintain physical bond files for securities owned.
- Daily, update pledging of bonds and deposit balances for public entities and REPO accounts to ascertain adequate coverage adding additional pledging as needed.
- Reconcile bond pledging and safekeeping reports from Commerce Bank, Baker Group and Federal Reserve Bank at month end.
- Remove bonds pledged before called or maturity and quarterly review excess pledging and reduce as appropriate.
- Save daily FHLB rates on SharePoint and share with CFO any stock changes made on prior day.
- Prepare the packet for the Bank Investment Committee (BIC) meeting.
- Save monthly bond reports for Board and/or BIC meetings.
General
- Work collaboratively with the Trust Officers and CFO to identify efficiencies in processes and functions and offer suggestions for improvements.
- Create files for employee 401(k) plan participants when needed.
- Assist with accumulating files and documents required for regulatory exams and audits for Trust and Bonds.
- Balance and report Federal & State Withholding.
- Daily download and review various reports for Trust/Bond Clerk/IRA & HSA accuracy and reporting.
- Serve on bank committees, as assigned.
- Achieve individual goals as they relate to the bank’s Strategic Plan and specific job functions.
- Participate in the business development efforts of the bank.
- Perform other duties as assigned.
Supervision: This position has no supervisory responsibilities.
Education: Associate degree, in related field or equivalent work experience is preferred.
Experience: Previous Bank, Bookkeeping and/or Trust Department experience is preferred, but not required. Must be proficient with computers, Microsoft products and standard office equipment. Proficiency with Fiserv, Maui and other bank/trust software is helpful, but can be learned on the job.
